Major Areas of Responsibility:
Provide high level executive assistance to the Executive Director to ensure a smooth workflow:
Monitor and manage all phone calls and emails, priorities actions and escalate where necessary
Extensive diary management including complex meetings with internal and external stakeholders, VIPs, and other appointments and commitments
Provision of personal assistance functions as required
Ensure Executive Director fully prepared for all upcoming commitments including necessary briefings, papers, travel arrangements, parking etc
Extensive travel management including flights, accommodation, itineraries and expenses
Prepare and format documentation including correspondence, submissions, and reports
Assist in preparation and formatting of presentations
Assist in coordination of grant submissions
Provide secretariat support including preparation of agenda, papers, minutes and actions to allocated committees
Provide a correct and transparent response to telephone messages and messages received to the office of the official and establish communication between individuals and the administration;
Arranging the division of working hours in order to better arrange appointments, formal meetings and circles in accordance with the previously set schedule and plan.
Assist organization Secretary with corporate governance administrative requirements as directed
Maintain filing system and databases
Arrange catering and provide support for meetings and other events
Other administrative duties as directed
About Sanayee Development Organization (SDO):
Sanayee Development Organization (SDO) is an Afghan development NGO, established in 1990 in Peshawar – Pakistan, to serve Afghan refugees in that area. SDO takes its name from Hazrat Abu-ul-Majad Majdod Ibn-e-Adam, well known as Hazrat Hakeem Sanayee, (1088 – 1166 A.D), one of Afghanistan’s most outstanding poets.
In 2002, SDO expanded its services and relocated to Kabul – Afghanistan, with the mission to contribute to the emergence of a peaceful, developed and self-sustaining Afghan society through the provision of services to vulnerable and disadvantaged people in remote and underserved rural areas of Afghanistan in the sectors of Peacebuilding and Conflict Transformation, Health, Education and Community Development.
Over time, SDO has established an extensive field presence and has implemented projects in 22 of Afghanistan’s 34 provinces. Today, SDO continues to operate in nine provinces in the northern, western, eastern and southern regions of the country. In all its works, SDO applies a participatory, community-based approach to development, working with community-based organizations, as well as relevant sub-national government bodies.
