Human Resources Officer – Only Females (Kandahar, Afghanistan)


Support to Human Resources Department

Maintains a good general knowledge of INTERSOS policies and Afghan Labor Law

Participates in developing HR team objectives and plans

Participates in the HR team meetings, base meetings and external meetings as required

Staff Administration

Ensures the accurate and timely administration of employee files, with archiving as required

Scans documents using appropriate scanning equipment and software and verifies scanned documents’ accuracy with source documents

Prepare national staff contracts, Casual Labor contracts and amendments to contracts

Monitors leave balances and sends monthly reminders

Administers the monthly attendance sheet

Ensures the regular and accurate update of the staff contact list (Excel)

Regular update of IMP HQ database for monthly HR statistics

Ensures the timely and accurate update of staff organograms

Compensation & Benefits

Prepares the monthly HR Payroll Matrix, in liaison with HR Assistants and Finance Department, according to timeline shared by the HR Department

Ensures to prepare the monthly staff pay-slips and collect a copy of them duly signed by staff and PM

Recruitment and Onboarding

Stores all required documents related to the recruitment process

Ensures accurate record-keeping of recruitment vacancies activated

Tracks the recruitment tracker and provides the applicant longlist to managers

Screening resumes when required in support to line managers

Coordinating interviews and tests with the hiring managers, sharing templates for the hiring manager to update and finalise

Follows up with timely reference and background checking keeping managers updated on status

Ensures New Starter checklist and Induction Schedule is completed and filed

Maintaining database of recommended applicants

Supporting on interview panel with candidates, communicating HR related INTERSOS

Following up on the interview and test process status

Staying current on the HQ and mission structure and internal staff policies

Serving as a liaison with employment agencies, academic institutions and HR associations

Training and Development

Supports annual Staff Evaluation process with guidance given to managers and follow-up of completed forms

Leads the presentation of Internal Guidelines to all staff quarterly

Organize regular training and refresh training on INTERSOS Policies and Guidelines

Maintains employee training records in liaison with managers

Exit Processes

Ensures effective exit interviews are in place and provide management with analysis and recommendations

Performs exit interview with all departing employees

Provide feedback to management on potential improvements realized through the exit interview process

Provide certificate of end of services for all departing employees

General

Any other task required for the smooth running of the HR department

Protects the interests of employees and INTERSOS, in accordance with internal policies and Afghan Labor Law

Education and professional requirements:

Minimum bachelor degree, ideally with HR certification/diploma

Minimum 3 years relevant professional experience

Qualifications, skills and traits:

Excellent computer literacy (MS Office Suite)

Good command of spoken and written English and Pashto/Dari

Excellent communication and organization skills

Punctuality and reliability

Attention for details and quality

Ethical and transparent decision-making

Independent, i.e. conducting tasks with minimal supervision and stress resilience
