Logistic/IT Assistant (Faryab, Afghanistan)


Job Description

SCOPE OF WORK: Purchasing of any item or equipment under the direct supervision of provincial officer with a proper documentation and procurement process. As well as, doing all IT activities, hardware as well software systems fixed. Managing internet system properly, paying the bills on time, issuing mobile phone for related departments, repairing and fixing computers and other responsibilities related to his current job. KEY RESPOSIBILITIES: The Logistic/IT Assistant will be responsible for carrying the following activities and not limit to: Logistics functions 

  • To receive proper clear approved requisition form from the requisitioned To take immediate quotation of the items if required. To obtain approval from all related departments in the bid summary, quotation, requisition and waybills which are must before the purchasing process Should submit the purchased/requested items/equipment’s properly to the requisitioned after completion of asset/inventory report to the asset department or supervisor. To assist supervisor for any other task needed to be done and assigned by the supervisor. To assist supervisor for any other task needed to be done and assigned by the supervisor To prepare purchase order, bid summary, quotation, and any other paperwork before purchasing the item if requires. To translate all receipts properly and clearly after purchasing and check by the supervisor and then clear with finance department To provide daily, weekly, monthly, quarterly and annually written report to the supervisor regarding hi/her activates. To avoid purchasing duplicate and second hands items which are against International Medical Corps policy and rules. To clear all r4eceipts on time with finance section before requesting the other cash. To undertake all other duties and responsibilities as assigned by the senior supervisor. Track all completed procurement through online Procurement Tracking system (PTS). Should be flexible by taking quotation and dealing with so many bidders than with one person all time. Should request from the requisitions department to take part in the purchasing process. Avoid any conflict of interest or the appearance of conflicts of interest in all relationship with vendors, deal fairly and impartially with all vendors.

  IT section 

  • Provide technical training and support to IT section, management other staff Overall managing of IT section with full concentration Service and maintenance of the IT equipment, including (Laptop , Desktop, Printer …) Maintain and monitor internet link equipment in the main office to ensure connectivity. Installing and upgrading software packages Conduct regular back up of files, servers and email servers Ensure the anti-virus software is updated on the servers and workstation

Configuration of outlook with Microsoft exchange and Pop3. Safeguarding policy for Staff: Respect and follow International Medical Corps Safeguarding policy and never neglect, abuse, harm and exploit children, young people, and adult at risk, Report any actual or suspicious harm to the children and vulnerable adult caused by staff and program.

Job Requirements

  • Graduation degree from BBA or BCS. At least 3 years of related experience and/or training or equivalent combination of education and experience with Int. NGOs. Experience in Afghan Local market situation.  Expertise in Microsoft Office including Word, Excel, PowerPoint Excel and internet is required. Good staff management, planning and organizing skills with strong command of context analysis, security management, networking and collaboration. Communication skills and strong local language correspondence skill. Particularly in fluency in English, Dari and Pashtu speaking /writing skills are required. Preference will be given to local candidates
