Program Support Officer (Kabul, Afghanistan)


Job Description

Support day-to-day programmatic issues including tracking daily activities, responding to emails, phone calls and reporting to Program Manager and/or ACM. Assist the PM and ACM to identify daily needs, coordinate with different departments and make sure PM and ACM are in the full picture of programmatic activities. Represent MHI’s program in different clusters’ events, and under the guidance of the PM build relationships with other stakeholders, through meeting and the preparation of reports and briefs. Support development of implementation plans with department’s staff by means of standardized project cycle management tools, Monitoring, Evaluation, and Learning plans and Monitoring frameworks, work plans, and others. Monitor project activities to ensure internal procedures and guidelines are observed, advising the PM and ACM of any potential compliance issues Draft, collate and provide inputs to biweekly, quarterly and annual reports or other types of reports, as requested. Coordinate the submission of inputs from Program staff for project reports, ensuring these highlight the value and impact the project activities. Develop monthly progress reports on work plan implementation as well as other reports or information requested. In coordination with the PM, generate ideas and identify new project opportunities; provide substantive input in the development of proposals or concept notes in English as required. Foster a teamwork approach in meeting objectives and goals and address possible conflicts in a positive and constructive manner, encouraging initiative and maintaining effective working relationships.

 

 

Background

Muslim Hands International – MHI is an International Relief and Development NGO, established in the United Kingdom in 1993 with the objective of providing relief and emergency services and long term sustainable development projects in a cultural, ethical, effective, efficient and transparent manner. Muslim Hands works both directly and with partners in over 50 countries worldwide carrying out short and long-term projects in emergency relief, Health, WASH, Education, Protection, shelter, safe water, and TVET programing and a particular intervention of Advocacy and Peace in Afghanistan only. Muslim Hands International has been awarded Investor in People (2000, 2004 & 2007) and also been accredited with Quality Management Systems Standard ISO 9001:2000. The organization is also a signatory to the International Federation of the Red Cross and Red Crescent Movement, and various NGOs in Disaster Relief and the main sources of funding of the organization are individual donors, trusts, institutions and DFID. Muslim Hands International obtained formal registration from the Ministry of Economy in Afghanistan with registration No. 141 in 2005, and is now firmly established with its Headquarters in Kabul, and is fully engaged in relief and development activities in different parts of the country. The work of Muslim Hands in Afghanistan involves; improving the lives of poor and vulnerable through the provision of education, health, WASH, Protection, Livelihood, advocacy, Agriculture and other specialized projects e.g. rehabilitation of the disabled, water purification and sanitation schemes, orphan sponsorship scheme, income generation activities and emergency aid / relief activities in Afghanistan. The Afghanistan head office operates in 21 provinces through head office in Kabul and regional and provincial offices in the respective regions and province of Afghanistan. The organization is running and operating by 25 professional core and full time personal of MHI in its head office in Kabul and each regional office of MHI deals with similar number of paid and volunteer staff member’s entire the country. 

Job Requirements

Relevant education, similar experience and set of complex required skills 

Bachelor-University Degree in Management, Business Administration, Development Studies or Project Management

3-5 years’ work experience in mid-level positions, with national and international organizations in program & project management, and organization development

 

Skills:

  • Knowledge and skills of program leadership and management
  • Knowledge and skills of partnership and fundraising
  • Ability of multiple complex projects management in a fast-paced, high-stakes environment
  • Experience and strength in writing inception, progress reports and completion reports to clients (government and donor agencies)
  • Donors, civil society, and private sector network building and engagement
  • Highly self-motivated, a problem solver, solution focused and a strategic thinker with the ability to manage multiple priorities and work to set deadlines.

 

Language:

Advance written and spoken proficiency in English and Dari/Pashto
