Job Description:

Have close contact with banks for balance confirmation, money transfers, funds confirmation exchange rates and other legal documents.
Record the entry of all transactions into Cash Book regularly to make sure all transactions are recorded accurately and coded to the right cost code.
Control and Maintain financial files for all accounting records, vouchers, disbursements, payments and other supporting documents.
Prepare Voucher for all transactions.
Prepare Monthly Cash and Bank Reconciliation of all AWN Bank Account.
Review Payment vouchers and other financial documents to ensure that procurement and financial policies are implemented.
Conduct regular cash counts and verify cash in Safe.
Prepare monthly and regular reports of Expenses vouchers, Advance Vouchers, and Bank Vouchers.
Perform any other duties that may be assigned by Provincial Manager.
Provide administrative support to the AWN Herat office
Monitor incoming and outgoing telephone calls and forward to the appropriate person
Provide the necessary office equipment (mobile phone, SIM, desktop or laptop computer, etc.) to staff members.
Have an accurate inventory record of all AWN Equipment’s and Assets. Keep personal inventory checklist updated for each staff member working in AWN from the joining date until the staff member leave the organization.
Monitor usage of photocopy machine. Advise and assist other departments on photocopying of documents on timely manner.
Develop, set up and document office filing systems related to: records management, supplies management, and all relevant office services
Monitor and supervise daily activities of  the support staff
Prepare the menu with the cooks on weekly bases
Maintain an office filing systems related to fueling of generators and heater systems update and track consumption on a regular basis.
Coordinate and arrange office facilities for seminars, workshops and trainings.
Provide administrative support to the program team in arranging workshop, seminars and conferences
Track the mailing system
Purchase tickets for business travels of staff and arrange their accommodations
Assist in translation of any office documentation.
 Able to record minutes of staff meetings, circulate it among staff and keep them in specific file for further need.
Carry out additional responsibilities and projects as requested/assigned if needed on weekend.

Background

About AWN:

After the United Nation Fourth World Conference on Women in Beijing, China, where a group of women from various organizations and agencies of the United Nation participated; the theory to form a network for the Afghan women’s cooperation and integration developed. With inspire from women’s movement in different part of the world; finally, in 1995 participants (women) of the conference decided to establish Afghan Women’s Network (AWN).

Afghan Women’s Network is the foundation for Afghan women’s movement, which serves as a stable network for growth of those women’s organizations they are active in the country.

Afghan Women’s Network has active and considerable presence in Kabul, Herat, Balkh, Kandahar, Bamyan, Paktia, Nangarhar and Kunduz, and is also active through its member in other provinces of Afghanistan. Afghan Women’s Network works as the umbrella for its member organizations. As well as projects related to issues (gender-based violence, strengthening of youth and education for girls) implement with coordination of its member. Afghan Women’s Network has over then 3500 individual members and 140 women’s organizations in its membership. The AWN envisions an Afghanistan in which women & men live in a justice and discrimination free society.

Qualification: Diploma in Business Administration and the BBA Degree Holders will be preferred
Experience: Minimum 4 Years’ Experience in Finance Department as Admin/Finance Officer
